Position Overview
The Director of Operations oversees the daily operations of First Presbyterian Church, Bryan, Texas, ensuring administrative efficiency, fiscal responsibility, and effective facility management. This role supports the mission of the church by coordinating human, physical, financial, and technological resources within the approved budget and staff structure. The Director of Operations plays a crucial role in maintaining security, managing financial transactions, overseeing facilities, and supporting church events and programs.
Working Relationships
The Director of Operations collaborates closely with the Pastor/Head of Staff to align administrative functions with the church's mission and objectives. This position involves supervision of the Maintenace staff, Custodial staff, and the Bookkeeper, ensuring cohesive teamwork and efficient workflow. Additionally, the Director of Operations builds strong relationships with volunteers, ministry and administrative staff, and external vendors, fostering a supportive and resourceful working environment. Communication and cooperation across departments and with church leadership are vital for the successful execution of programs and initiatives.
The Director of Operations is also expected to actively participate in Administration Committee meetings to ensure alignment with the church's overarching goals and strategies. This includes providing regular updates on office operations, staff performance, and identifying areas for improvement or additional support. By fostering transparent communication and collaboration, the Director of Operations helps bridge the administrative framework with the mission-driven objectives of the church.
Administration & Staff Oversight
- Oversee front-office operations, including coordinating staff and volunteers to answer calls, respond to inquiries, and welcome visitors during business hours.
- Maintain and distribute office supplies, ensuring availability for staff and volunteers.
- Oversee office equipment functionality and troubleshooting, working with IT vendors when needed.
- Supervise and schedule administrative volunteers, ensuring productivity and efficiency.
- Train volunteers in database maintenance, communications, and event coordination.
- Collaborate with pastoral and ministry staff to implement church programs and initiatives.
- Serve as the onsite IT manager, overseeing church technology infrastructure and security systems.
Human Resources & Financial Management
- Manage staff onboarding, training, and orientation on church policies and HR procedures.
- Maintain compliance with employment laws and PCUSA guidelines for HR administration.
- Oversee background checks for employees and volunteers and manage benefits enrollment with the Board of Pensions.
- Maintain payroll processing, approve timecards, and update employee records.
- Oversee financial disbursements, reconcile credit card purchases, and support bookkeeping functions.
- Prepare budget reports, assist with annual stewardship campaigns, and ensure transparency in fund allocations.
- Manage insurance policies, including property, casualty, and workers’ compensation coverage.
- Develop internal accounting systems to maintain financial integrity and compliance with audits.
Facilities & Security Management
- Oversee building security measures, access codes, and key distribution for staff and volunteers.
- Manage security system operations, including camera monitoring and facility access protocols.
- Coordinate facility-use applications and ensure proper scheduling for internal and external events.
- Ensure church facilities are properly maintained.
- Approve purchases for office, custodial, and kitchen supplies within budget constraints.
- Maintain facility records, inventory tracking, and compliance with safety guidelines.
- Develop, implement, and maintain emergency procedures for natural disasters or security incidents, ensuring the safety and preparedness of staff, congregation members, and visitors.
Event & Volunteer Coordination
- Manage church calendars, ensuring alignment between committees, staff, and scheduled events.
- Organize and facilitate church-wide events, overseeing coordination, volunteers, and setup coordination.
- Support external groups using church facilities, ensuring adherence to policies and contract agreements, including the coordination of staff coverage.
- Recruit and train volunteers to support office administration and event facilitation.
- Coordinate and document required training for staff, session members and volunteers.
Church Database & Recordkeeping
- Maintain accurate digital and physical church records, including membership updates, baptisms, deaths, and marriages.
- Maintain church database including member data, attendance records, and event calendars.
- Work with the Clerk of Session to organize and archive key church documents for historical and administrative reference.
Communications
- Assist in the development and implementation of strategies for effective communication within the church, ensuring clarity and consistency across all committees, staff, and members.
- Assist in the creation and distribution of church bulletins, newsletters, and other printed materials, maintaining a tone that reflects the church's mission and values.
- Manage the church's social media platforms, including access management and monitoring.
- Assist in the coordination of website updates and enhancements, ensuring relevant, accurate, and accessible information for members and visitors alike.
- Collaborate with ministry leaders and volunteers to gather content and ensure alignment across all communication channels.
ADA Physical Requirements
Ability to sit, stand, walk, talk, and hear for extended periods.
Ability to lift up to 20 pounds.
Close vision required for paperwork and computer tasks.
Must be able to drive and maintain a valid Texas driver’s license.
